Maple Train Official Booking & Refund Policy
Reservation Fee (Non-Refundable Deposit) To secure your date, a non-refundable Reservation Fee of 50% of the total quote is required. This fee is strictly non-refundable from the moment of booking as it covers administrative costs and the guaranteed reservation of your time slot [cite: 2026-02-05].
Final Balance & Payment Deadline The remaining 50% balance must be paid in full 30 days prior to the event date. If the balance is not received by this deadline, the booking will be automatically cancelled and the initial deposit forfeited.
The 30-Day "No Refund" Rule Any cancellation made within 30 days of the event date is 100% non-refundable. No exceptions will be made for cancellations occurring less than one month before the scheduled service, as it is nearly impossible to re-book the 2025 electric train for another client on such short notice [cite: 2026-02-05].
Festivals & High-Demand Dates (90-Day Notice) For Festivals, Public Events, and Statutory Holidays (including July 1st - Canada Day), a minimum of 90 days notice is required to receive a refund of the final balance only [cite: 2026-02-05]. The initial 50% deposit remains non-refundable regardless of the notice period.
Site & Safety Requirements The client must provide a flat, hard-surface path for operation [cite: 2026-03-02]. Maple Train reserves the right to halt operations if the site is deemed unsafe for our 2025 electric equipment or passengers [cite: 2026-03-02]. No refunds will be issued if the site does not meet these safety requirements upon arrival.
Weather Policy In case of extreme weather (lightning, heavy floods) that prevents safe operation, a one-time credit will be issued to reschedule within the same calendar year. No cash refunds will be issued for weather-related delays.
